Venues V ("we", "us", "our") operates the Venues V mobile application and website (venuesv.com). This Privacy Policy explains how we collect, use, and protect your information when you use our platform.

By using Venues V, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Demo request information

When you request a demo, we collect your name, work email, phone number, business name, venue count, approximate team size, venue type, operational challenge, desired timeframe, and product interests. Submitting this form does not create a user account or subscription.

Account information

When an account is provisioned or you accept an invitation, we collect your name, email address, phone number where provided, role, and account identifiers. Authentication is handled by our authentication provider; Venues V does not receive or store your plaintext password.

Sales, contract, and provisioning information

During discovery and provisioning, we may record sales notes, follow-up dates, agreed venue allowances, enabled features, support level, contract reference, commercial terms, onboarding details, and launch status. Access is restricted to authorised Venues V administrators.

Venue, communications, and operations data

We collect data you enter into the platform, including venue names, zones, tasks, issues, team member details, chat messages, images, videos, and photo proof. This is the core operational data of the service and is visible only to authorised people in the relevant venue or conversation.

Usage data

We collect information about how you use the app, including login times, feature usage, and device information (device type, OS version, app version).

Payment information

Payments are processed by Stripe. We do not store your credit card number, expiry, or CVC. We retain your Stripe customer ID and subscription status to manage your account.

Photos and operational evidence

Photos and videos uploaded to issues, supply requests, restock records, reports, company profiles, and chat are stored in cloud storage. Access to private operational evidence is restricted to authorised users for the relevant venue or conversation. Live camera evidence may record the server receipt time, device capture time, device location, location accuracy, and distance from the configured venue geofence. Existing library photos are labelled unverified and do not receive live-location verification.

Location and operational attendance

If an eligible manager or cleaner explicitly enables automatic attendance, Venues V uses foreground and background location to detect entry to and exit from configured geofences for assigned venues. We record the venue, clock-in and clock-out times, event source, device coordinates and accuracy, correction history, and the manager reason for a correction. Automatic attendance is an operational history feature and is not represented as payroll or wage calculation. Background location can be disabled in the app or device settings, and a manual attendance fallback remains available.

Venue owners and managers are responsible for providing any workplace notice, consultation, consent, or policy required before directing team members to use location-based attendance. Location is not used for advertising and is not intended to track a person outside assigned venue attendance and evidence workflows.

Supply demand and restock history

We record requested supply items, quantities, units, urgency, request notes, requesters, restock outcomes, manager actions, timestamps, and related operational evidence so authorised venue users can review demand and restock history.

Safety and support data

If you report content, block a user, contact support, or request account deletion, we collect the request details needed to review, action, and document that request. Reported content may be preserved in a restricted moderation record while it is investigated.

Push notification tokens

We store your device push token to send you notifications. You can disable notifications at any time in your device settings.

We may disclose your information if required to do so by law or in response to valid legal requests by public authorities.

4. Data Security

We implement industry-standard security measures to protect your data:

No method of transmission over the internet is 100% secure. We cannot guarantee absolute security, but we take reasonable precautions to protect your information.

5. Data Retention and Deletion

Demo-request information is retained while we assess, contact, and follow up on the opportunity, and then for a reasonable period for sales administration, duplicate prevention, and legal obligations. You can ask us to delete a demo request at any time.

We retain account and operational data while the account is active and as needed to provide the service. Supply movement, evidence, geofence attendance, and manager correction records may be retained for the business account's operational, safety, dispute-resolution, and legal requirements. Content reports and limited security records may be retained while an investigation is open or where required for legal, fraud-prevention, or security obligations.

You can initiate account deletion in the mobile app under More → Privacy & Support → Request Account Deletion. Authenticated deletion requests are processed within 30 days. We delete the account and associated personal data that we are not legally required to retain, including user-generated content associated solely with that account. Shared business records may be deleted, de-identified, or retained only where another authorised business user requires them or law requires retention.

7. Cookies

The Venues V website uses minimal cookies for session management and analytics. We do not use third-party advertising cookies. You can disable cookies in your browser settings, though this may affect functionality.

8. Children's Privacy

Venues V is designed for business use and is not intended for users under 18 years of age. We do not knowingly collect personal information from children under 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice in the app. Your continued use of the platform after changes constitutes acceptance of the updated policy.
